How do I get phone numbers for my positive replies?

Check the signature and website first, then enrich your Interested leads to find their mobile numbers and call them back fast.

Written by Lewis Thompson

TL;DR

  • Calling a lead right after they reply with interest is the fastest way to book the meeting.

  • First check their email signature. Many leads put their phone number there. If not, check their company website footer or Google.

  • Still no number? Put the lead's first name, last name, email and company website in a CSV and run it through Enrichment with Mobile phone number selected.

  • A mobile number costs 3 credits, US only, and you're only charged when a number is found.

  • On the call, don't sell. Book the Zoom.

When you'd use this

Use this every time a lead replies with interest. A quick call while they're still warm turns more positive replies into booked meetings than email alone. The goal of the call is to set the appointment, not to close the deal on the phone.

Step-by-step

1. Check their signature

Open the reply in Master Inbox and scroll to the bottom of their email. A good share of leads include a phone number in their signature.

2. Check their website or Google

If the signature has no number, copy their company website from the reply or the lead details and open it in your browser. The footer or contact page often lists a number. You can also search the company name on Google.

3. Find your positive replies in Master Inbox

  1. Open Master Inbox from the sidebar.

  2. Click the filter button, then under By Category choose Specific Lead Category and select Interested.

  3. Click Apply. You now see every positive reply.

4. Put the lead in a CSV

Open a Google Sheet or Excel file with four columns: First name, Last name, Email and Company website. Copy each value from the lead in Master Inbox. Add one row per positive reply, then download the sheet as a CSV file.

5. Run it through Enrichment

  1. Open the Enrichment page from the sidebar and upload your CSV.

  2. Give the list a name you'll recognize, for example the lead's name or the date.

  3. Map your columns: first name to first name, last name to last name, email to business email, and company website to the company domain.

  4. Choose the fields to add. Select Mobile phone number. You can also add free fields such as LinkedIn URL, location or company address.

  5. Check the credit estimate, then start the enrichment.

6. Download the number and call

When the enrichment finishes, download the file and call the lead. Keep it short: thank them for the reply and set a time for a Zoom call. Not every lead has a mobile number in our data, so some rows come back without one.

Expected outcome

  • You have a phone number for most of your positive replies, from the signature, the website or Enrichment.

  • You call each lead while they're still warm and book the meeting faster.

  • You only spend credits on mobile numbers that are actually found.

FAQ

How many credits does this use?

3 credits per mobile number found. You're not charged when no number is found. Fields like LinkedIn URL, location and company address are free when available. You don't need to select business email, since you already have it.

Does this work for leads outside the US?

Mobile phone numbers are US only. For leads in other countries, use the signature and website steps.

Can I enrich several replies at once?

Yes. Add one row per positive reply to the same CSV and run them together.

How do I hear about positive replies faster?

Turn on positive-reply notifications in Email Engine Settings, so you get an email the moment a reply is categorized as Interested. See How do I get notified when a lead replies?

What do I say when I call?

Thank them for replying and ask for a time to jump on a Zoom. Don't pitch on the phone. The call is only there to book the meeting. See How do I turn a positive reply into a booked meeting?
