How do I send ListKit events to my CRM or other tools with webhooks?

Create a webhook on the Integrations page to send ListKit events, like positive replies, to your CRM, Zapier, Make or your own app.

Create a webhook on the Integrations page to send ListKit events, like positive replies, to your CRM, Zapier, Make or your own app. You need a webhook URL from the tool that will receive the data.

TL;DR

  • A webhook sends ListKit events to a URL you choose, the moment they happen.

  • Any tool that gives you a webhook URL works: your CRM, Make, GoHighLevel, Zapier (with a Catch Hook, which needs a paid Zapier plan) or your own app.

  • Set it up on the Integrations page in the sidebar: add the URL, choose all campaigns or one, and pick the event.

  • To send only positive replies, use the lead category event and filter for Interested or Meeting Booked in your tool.

  • If you only want an email when a lead replies positively, use reply notifications instead. See How do I set up positive reply notifications in Email Engine?

When you'd use this

Use this when you want new replies or positive leads to show up in your CRM or another tool automatically, without copying them over by hand.

Step-by-step: create a webhook

Step 1: Get a webhook URL from your tool

In the tool that will receive the data, create a webhook URL and copy it. In Zapier, for example: create a Zap, choose Webhooks by Zapier as the trigger, pick Catch Hook as the trigger event, and copy the URL Zapier gives you.

Step 2: Add the webhook in ListKit

Open the Integrations page from the sidebar, go to the webhooks area and add a new webhook.

Fill in the details:

  • Name: something you'll recognize, for example "CRM: interested leads".

  • URL: paste the webhook URL from Step 1. It must start with https.

  • Campaigns: all campaigns, or just one.

  • Event: the event you want to send. For positive replies, pick the event for lead category changes.

Step 3: Save the signing secret

When you create the webhook, ListKit shows a signing secret. Copy it and keep it safe. You only need it if your tool checks webhook signatures.

Step 4: Send a test

Use the menu next to your webhook to send a test event, then check that your tool received it. In Zapier, click Test trigger.

Step 5: Keep only positive replies

The lead category event fires on every category change, including Not Interested and Out of Office. Add a filter step in your tool so it only continues when the category is Interested or Meeting Booked. In Zapier, use Filter by Zapier.

Step 6: Send the data where you need it

Map the fields you need, such as name, email, category, reply text and reply date, to your CRM, sheet or app. Then turn on your Zap or workflow.

Expected outcome

Every matching event from the campaigns you chose is sent to your tool automatically, so new positive leads appear in your CRM without manual data entry.

Troubleshooting

  • Check that the URL in ListKit exactly matches the one from your tool and starts with https.

  • Make sure your endpoint accepts the request and returns a success response.

  • Send another test from ListKit.

  • ListKit retries failed deliveries. If a webhook keeps failing, it's paused and the account owner gets an email. Missed events aren't sent again. Fix the URL, then edit and save the webhook to turn it back on.

FAQ

Which events can I send?
You pick from the events listed when you create the webhook, such as a lead's category changing, a lead replying, and an inbox finishing warmup. ListKit doesn't track opens or clicks, so there are no open or click events.

Can I get a webhook for Interested leads only?
There isn't a separate event for each category. Use the lead category event and filter for Interested or Meeting Booked in your tool.

Can I limit a webhook to one campaign?
Yes. Choose that campaign instead of all campaigns when you create the webhook.

Can I have several webhooks?
Yes. Each webhook has its own URL, campaigns and event, for example one for your CRM and one for a Slack channel.

Do I need Zapier?
No. You can use any HTTPS URL. Each request is a signed JSON POST that you can verify with your signing secret.

My test didn't show up in my tool. What should I do?
Check that the URL matches exactly, make sure your tool is listening for a test (in Zapier, click Test trigger first), then send another test.
