How do I update my email signature in Email Engine?

TL;DR

  • Email signatures are set per inbox from the Inboxes page

  • You can update signatures one inbox at a time or in bulk across all inboxes at once

  • Keep it simple: name, title, company, and an unsubscribe line

  • The signature is added automatically to the bottom of every email sent from that inbox. You don't add anything to your sequence

  • Signatures can be up to 350 characters. An unsubscribe line is recommended for compliance.

How to update your email signature

Single inbox

Open Inboxes in the left sidebar.

Find the inbox you want to update, click the three-dot menu on the right side of the row, and select Update Email Signature.


The signature editor will open. Type your signature in the text field and click Save when done.


Multiple inboxes at once

If you want to apply the same signature across multiple inboxes, you can do it in bulk.

From the Inboxes page, check the box next to each inbox you want to update, or check the box at the top of the list to select all inboxes at once.

Once your inboxes are selected, a bulk action bar will appear at the bottom of the screen. Click Update Signature, enter your signature, and save. The same signature will be applied to every selected inbox at once.

You don't need to add anything to your campaign sequence. Each email goes out with the signature of the inbox it is sent from.


What to include in your signature

Keep it short and professional. A good cold email signature includes:

  • Your full name

  • Your job title and company name

  • Optional: a phone number (your email address is already visible to the prospect)

  • An unsubscribe line, for example: To stop receiving emails, reply with UNSUBSCRIBE

The unsubscribe line is recommended for compliance and gives prospects a clear way to opt out without marking your email as spam. Keep your signature free of links. Links can hurt deliverability.

Frequently asked questions

Is the signature the same across all inboxes?
Not automatically. Signatures are set per inbox, which is why the bulk update option is useful if all your inboxes share the same sender identity. If you have multiple personas with different names and details, update each persona's inboxes separately.

Is there a character limit?
Yes, 350 characters maximum.

Does the signature appear on every email in a campaign?
Yes. The signature is added automatically at send time to every email sent from that inbox, in every step of every campaign it is assigned to.

What if I have different signatures on different inboxes?
Each inbox uses its own saved signature. If you have two personas with different names, each inbox adds the correct signature for that sender automatically.

Why can't I see my signature in the sequence preview?
The preview doesn't show it. Each email goes out with the signature of the inbox it is sent from, added at send time. To see it, send a test email.

My signature is not showing up in sent emails. What do I check?
Make sure the signature is saved on the inbox that is sending the campaign. If you typed %signature% into your sequence because of older instructions, delete it. ListKit adds the signature for you.
