How do I get notified on replies or push ListKit data to my CRM?

TL;DR

  • You can get instant notifications on positive replies and push data to your CRM using Zapier + webhooks.

  • ListKit configures the webhook on our end after you provide a Zapier webhook URL.

  • You control what happens to the data (Slack, CRM, email, etc.).

  • This setup works for reply notifications and CRM syncing.


When you’d use this / Why it matters

If you want to respond faster to replies, route conversations to sales, or sync engagement data into your CRM, webhook automation is the most reliable option. This guide shows how to connect ListKit replies to other tools using Zapier.


Important note about webhooks (please read)

ListKit uses a third-party sending provider (best-in-class for deliverability). Because of this:

  • Webhook destinations and logic live on your side (Zapier / CRM).

  • ListKit can only configure the webhook inside the sending tool once you provide the URL.

  • We cannot debug CRM-side logic or Zapier workflows beyond confirming data is sent.

This is expected and normal for webhook-based integrations.

Step-by-step: Set up reply notifications using Zapier

1) Sign up for Zapier


2) Create a new Zap

  1. In Zapier, click Create

  2. Select Zaps


3) Add your trigger

  1. Click the Trigger step

  2. Search for Webhooks

  3. Select Webhooks (Legacy)

4) Configure the webhook trigger

  1. Under Trigger Event, select Catch Hook

  2. Click Continue twice


5) Copy your webhook URL

Zapier will generate a Webhook URL.

Expected outcome:

ListKit configures this webhook inside your sending tool so reply events are sent to Zapier.


6) Test the webhook

Once support confirms setup is complete:

  1. Click Test Trigger
    ​

  2. Select Continue with selected record

You should now see sample reply data inside Zapier.


Choose where replies should go (CRM, Slack, email, etc.)

7) Choose your action app

After the trigger works, choose where you want notifications or data to go.

Common examples:

  • Slack (channel or DM)

  • CRM (HubSpot, Close, Salesforce, etc.)

  • Email

  • Google Sheets


8) Set up the action

  1. Select the action (e.g. Send Channel Message, Create Contact)

  2. Map the fields you want from the webhook

  3. Click Continue


9) Connect your CRM or tool

  • Log in to the tool when prompted

  • Confirm access

  • Click Continue

10) Publish your Zap

  1. Review your workflow

  2. Click Publish

What happens after setup

Once live:

  • Every positive reply triggers the webhook

  • Zapier instantly sends data to:

    • Slack

    • Your CRM

    • Email

    • Any Zapier-supported tool

No further setup is required inside ListKit.

Do I need Zapier to do this?

Yes. Zapier is the recommended and supported no-code option.

Can I push data to any CRM?

Yes, as long as Zapier supports it.

What replies trigger the webhook?

Positive replies (based on sending-tool logic).

Can ListKit debug my Zap or CRM mapping?

We can confirm webhook delivery, but CRM-side logic is managed by you.

Webhooks are best used for notifications and CRM syncing. If you’re unsure whether you need this, check with your Account Manager before setting it up.
